POSITION PURPOSE

This position is located at Basin Electric Headquarters in Bismarck, ND.

This position is open to varying levels based on experience.

Provides records management services for Basin Electric Power Cooperative (BEPC) and its subsidiaries, analyzing Cooperative compliance with Records Management (RM) policies and procedures and legal retention requirements.

ESSENTIAL DUTIES

  • Analyze, develop, implement, and maintain a Cooperative-wide record series system of classification, storage, and retrieval of hard copy and electronic records. Must have a high level of familiarity on information created by their assigned Business Units and understand how information can overlap with other departments.
  • Ensure proprietary, privileged, and confidential information is identified, protected, and maintained to prevent disclosure to unauthorized personnel. Document retention program activities for possible use by the Cooperative and Subsidiaries, or others to show the program is auditable and conducted in the normal course of business.
  • Assists in the development and maintenance of the Cooperative FilePlan/Retention Schedule.
  • Performs imaging and digitizing physical records and filing of electronic records received.
  • Process invoices into Altien, either by scanning and validating hard copies or entering electronic email invoices. 
  • Communicate with Accounts Payable regarding exceptions and new vendors.
  • Perform other duties as assigned.

 

MINIMUM QUALIFICATIONS

  • High school diploma or equivalent (GED or HSED).
  • Frequent travel to other Cooperative facilities.
  • A valid Driver’s license.

PHYSICAL AND ENVIRONMENTAL DEMANDS

This position requires the ability to remain in a stationary position and to move about the office building, occasional reaching below and above shoulder level, use of a keyboard/computer and other office productivity machinery, bending, kneeling, lifting/carrying up to 10 pounds, and pushing/pulling up to 20 pounds. It also requires finger dexterity and hand coordination. Equipment used includes personal computers, scanning machines, and other records management office equipment.

  • Ability to communicate and must be able to clearly exchange accurate information.
  • Ability to develop plans, procedures and goals, present information to others, and work under stress to complete projects within deadlines.
  • Proficient in Microsoft Word, PowerPoint, Outlook, and Excel.
