Job Description: 

POSITION PURPOSE

This position provides comprehensive and confidential administrative and secretarial support for the Senior Vice President & Chief Financial Officer (CFO). The Executive Assistant coordinates administrative activities, special projects, and procedural guidance, ensuring efficiency across Financial Services division. 
 

ESSENTIAL DUTIES

  • Provide confidential administrative support, screening calls, correspondence, and maintaining filing systems.
  • Compose, type, and distribute complex documents including reports, presentations, correspondence, and meeting minutes.
  • Schedule meetings, manage calendars, and coordinate travel arrangements.
  • Handle special projects and perform independent research as requested.
  • Ensure accuracy and discretion when handling confidential and sensitive information.
  • Establish and maintain effective working relationships internally and externally.
  • Coordinate CFO and department activities, including Board committee meetings.
  • Provide administrative support to the Controller, Treasury, and Risk & Insurance divisions.
  • Support the preparation of financial statements, audit coordination, and debt compliance activities.
  • Perform other duties as assigned.

 

MINIMUM QUALIFICATIONS

  • Associate’s degree in administrative assistance or a related field; and 5 years of related administrative assistance experience; or
  • High school diploma or equivalent (GED or HSED); and 7 years of related administrative assistance experience.
     

PREFERRED QUALIFICATIONS

  • Bachelor’s degree in business administration or related field.
  • Strong understanding of corporate governance processes.
  • Project management experience or formal training. 

PHYSICAL AND ENVIRONMENTAL DEMANDS

This position requires the ability to remain in a stationary position and to move about the office building, occasionally reaching below and above shoulder level, constant use of keyboard/computer and other office productivity machinery, bending, kneeling, lifting/carrying up to 10 pounds, and pushing/pulling up to 20 pounds. It also requires finger dexterity and hand coordination.

  • Excellent interpersonal, organizational, and communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to delegate effectively and handle multiple tasks under pressure.
